Farmer collections

Farmer, collection centre, scale, receipt, price, payment, report.

Agricultural weighing starts at the farm gate, not the factory. KiloSahihi's collection app runs on the clerk's phone paired to a Bluetooth scale: the farmer is looked up by number, the weight is read from the scale, a receipt is printed or sent by SMS, and the delivery syncs to the organisation's dashboard. Seasons, rates, deductions and payments run from the same record, for coffee, tea, milk, grain, fruit and vegetables alike.

At the collection point

One delivery, start to finish.

  1. 1

    Clerk signs in

Each clerk has a login scoped to the organisation and the collection centre. Every weighing is recorded against the clerk who took it.

  2. 2

    Farmer identified

The member or supplier number brings up the name and the running total for the season. New farmers are registered from the dashboard, not invented at the scale.

  3. 3

    Weight from the scale

The phone reads the platform scale over Bluetooth. Manual entry exists for a flat battery, is switched on per centre and is flagged on every record.

  4. 4

    Grade and deductions

Where the crop is graded or sampled at the centre, the grade, moisture or quality result is recorded on the delivery and the deduction rule applied.

  5. 5

    Receipt

A pocket printer prints the slip, or the farmer receives an SMS with the weight, the delivery number and the season total so far.

  6. 6

    Sync, price and pay

Deliveries queue on the phone and sync when there is signal. Season rates, charges, advances and debts are applied and each farmer's statement and payment come from the same totals the receipts came from.

What the organisation gets

A field collection system that reconciles to the factory.

Bluetooth scales

Platform scales paired to the phone, supplied and set up by us, so no weight is typed on a normal day.

Per-farmer records

Every delivery against a farmer number with the clerk, centre, time, weight and grade. Corrections are logged, never overwritten.

Seasons and rates

Seasons with their own dates and rates per product, standard charges, and totals that respect them.

Advances, inputs and debts

Farm inputs, advances and store purchases recorded against the farmer and deducted at payment, with a statement that shows each line.

Payments

Net payable per farmer from the same totals the receipts came from, paid from the same record and reconciled against sales.

Receipts and statements

Delivery slips and season statements by print, SMS or email, re-sent from the dashboard when needed.

Works without signal

Collections continue offline and sync later. One record per delivery, so a retry never doubles a farmer's kilos.

Multi-centre dashboard

Every collection centre in one view: daily kilos, active farmers, centre and clerk breakdown, shift reports by email.

Reconciled to the factory

The factory weighbridge runs the same software, so what the centres collected is reconciled against what arrived at the gate, by farmer and by centre.

Crops

Coffee, tea, milk, grain, fruit and vegetables.

Coffee cooperatives weigh cherry and mbuni per member with coffee-board fields on the factory ticket. Tea collection centres weigh green leaf per grower and reconcile against the factory's intake. Dairy cooperatives weigh milk per supplier at the collection point, morning and evening. Grain buying centres weigh sacks with moisture and quality recorded. Packhouses and processors weigh produce per outgrower at collection points before it reaches the intake bay. The phone, the scale, the receipt and the season logic are the same; the fields, rates and statement layouts are set per organisation.

  • Coffee cherry and mbuni per member, coffee-board fields at the factory
  • Tea green leaf per grower, reconciled to factory intake
  • Milk per supplier per session
  • Grain, fruit and vegetables per outgrower with grade and moisture

Questions

Frequently asked

What is farmer collection software?
Software that records each farmer's delivery at the collection point, with the weight read from a scale rather than typed, issues a receipt, syncs to the organisation's dashboard and produces season statements and payments from the same records.
Does it need internet at the collection centre?
No. The phone records deliveries offline and syncs when it has signal. Receipts print from a Bluetooth pocket printer without any connection.
Which crops does it handle?
Any crop weighed at a collection point: coffee, tea, milk, grain, fruit, vegetables, nuts. Fields such as grade, moisture and variety are configured per organisation.
How are farmers paid?
From the season's deliveries per farmer at the rates set for the season, less charges, advances and debts recorded against the farmer. Each farmer gets a statement showing every line, and payment is made from the same record.
Can it reconcile centres against the factory?
Yes. The factory weighbridge runs the same software with the same farmer records, so centre collections are reconciled against factory intake by farmer and by centre without a spreadsheet in between.
